The work around the question
A study depends on more than its research question. People must be recruited, screened, contacted, scheduled, and followed up. A research management system helps organize those operational steps and the information that connects them.
Begin with the participant journey
Map each stage from first contact to completion. For each transition, identify who acts, which information they need, and what record should remain. This map is a better starting point than a feature checklist.
Understand your existing tools
Separate data capture, statistical analysis, participant coordination, and institutional recordkeeping. Establish which systems remain authoritative and where information must move between them.
Evaluate a real task
Ask to see a coordinator pick up a participant record, understand the history, and complete the next action. Use fictional data and include a missed appointment or unresolved question.
Define a successful handoff
Before adopting a platform, agree on exports, access, ownership, and the records your institution needs. A connected workflow should make those responsibilities easier to explain.
